How to set up Gmail templates and some practical uses

If you send a lot of emails every day, for example for work reasons, you may have noticed that you keep writing the same thing to different people. Whether it's a standard cover letter, a confirmation that you've received something, or a request you want to send to dozens of people, you don't want to type it over and over. That's why Gmail templates are one of the best inventions of all time. You save time and a lot of effort.

On the Gmail desktop, templates are an add-on that you can enable in the Advanced section of Gmail settings. Once activated, go to a new email window and type what you want to save as a template. Then click on the three vertical dots below and select Templates-->Save Design as Template-->Save as New Template. Give it a name and save it.

How to set up Gmail templates (desktop)

Formerly known as canned replies, templates came about as an optional extra in the now-defunct Gmail Labs. It's still an optional extra, but you must now turn it on in the Advanced section of Gmail's settings.

Once you've done that, reload your Gmail and then open a new email window. If you click on the three vertical dots below, you will see a new one templates Opportunity.

To set up a new template, start typing what you want to save as a reusable template into the email window. Once the text is ready, click on the three vertical dots and then go to Templates->Save Design as Template->Save as New Template.

  • You will be prompted to give the Gmail template a name. Keep it simple, short and memorable. Once you've saved it, you'll find it under Templates->Insert Template.
  • To delete a Gmail template, go to Templates–>Delete Template. Select the one you want to delete and confirm.
  • To edit a Gmail template, place the existing template in a new email window and make the necessary changes to the text. Then go Templates - > Save draft as template - > Overwrite templateand select the one you want to overwrite.

Some handy uses for Gmail templates

You might be wondering what you could use these templates for. Here are some practical uses.

  • A letter of application. If you're sending out dozens of resumes, use the template each time and tweak it for each employer as needed.
  • An automatic signature. Gmail already offers an automatic signature feature, but you can instead save a signature as a template and insert it as needed.
  • A standard confirmation. If you're used to getting the same thing from people over and over again (e.g. application forms, FAQs, etc.), you can create a standard reply template.
